Terms & conditions

The terms for using Lodge Deck, managing your subscription and working with your property’s data.

Clear responsibilities, from your first sign-in to your daily operations.

About these terms

These terms apply to the Lodge Deck website and hospitality software, operated by Grandscale Digital, registered in Nigeria. “Lodge Deck”, “we” and “us” refer to Grandscale Digital. “You” means the individual or organisation using the service.

By creating an account or purchasing a subscription, you agree to these terms. If you act for a property or another organisation, you must be authorised to bind it. A separately signed agreement takes priority where it expressly differs from these terms. Our Privacy Policy explains how personal information is handled.

Accounts & access

You must be legally able to enter a contract and provide accurate account and property information. Keep your sign-in details secure, assign appropriate staff permissions and remove access when a team member leaves. You are responsible for activity carried out through accounts you authorise.

Tell us through the Help Centre if you suspect unauthorised access. Do not share credentials with people who are not authorised to access the property’s records.

Plans, trials & billing

Your selected plan and order define the properties, room limits, staff access and features included. Subscriptions are per property unless your agreement says otherwise. A 14-day trial is available on eligible plans; the terms shown when you sign up explain what happens when the trial ends.

Checkout or your order confirms the billing frequency, invoice currency, taxes, amount due and any automatic renewal. Currency estimates on the marketing site are indicative and do not fix an exchange rate or the final charge. Payment-provider fees and other third-party charges are separate unless expressly included.

You authorise charges you agree to at checkout. We will communicate changes to recurring prices before they apply to a renewal. If a payment fails, we may restrict paid features after notifying the account contact, subject to your agreement and applicable law.

Cancellation & ending access

Use the available billing controls or contact the Help Centre to request cancellation before your next renewal. The effective cancellation date and any refund or credit are determined by the terms agreed at checkout, your subscription agreement and mandatory legal rights. Cancelling Lodge Deck does not cancel a separate third-party service.

We may suspend access where reasonably necessary to address a security threat, unlawful activity, non-payment or a material breach of these terms. Where practical, we will explain the issue and allow it to be resolved. Export the records you need before access ends; contact us about data return or deletion arrangements. Legal retention requirements and any agreed data-processing terms still apply.

Responsible use

Use Lodge Deck lawfully and only for operations you are authorised to manage. You must not:

  • Access another property’s information without permission, bypass access controls or probe the service for vulnerabilities without written authorisation.
  • Upload malicious code, disrupt the service, send unlawful messages or use it for fraud.
  • Upload or disclose information you have no right to process, or infringe another person’s privacy or intellectual-property rights.
  • Copy, resell or reverse-engineer the software except where your agreement or applicable law permits it.

Your property & guest data

You retain your rights in the data you submit. You give Lodge Deck permission to process it as needed to provide, support and secure the service and meet legal obligations, subject to the Privacy Policy and any applicable data-processing agreement.

Your property remains responsible for accurate rates, availability, guest notices, booking policies, taxes, payment instructions and lawful collection of guest and staff information. Maintain the records and exports your business is required to keep. Lodge Deck supplies operational tools; it does not become the accommodation provider or a party to your guest’s reservation.

Solis & assisted workflows

Where enabled, Solis can help with property information and supported tasks. AI-generated responses can be incomplete or inaccurate. Review information and proposed changes before relying on them, especially for rates, guest charges and room assignments.

Actions that require approval remain subject to an authorised user’s confirmation. You remain responsible for operational decisions. Do not submit sensitive information that is unnecessary for the task. Availability depends on your configuration and the relevant service providers.

Connections & third-party services

Payment providers, booking channels and other external services have their own terms, eligibility requirements, fees and privacy practices. You are responsible for the accounts and permissions you connect. A listed brand or a requested integration does not mean that a live connection is available.

Calendar feeds can refresh with delays and do not necessarily carry rates, restrictions or every reservation detail. Check availability and reservations in the relevant systems. Provider outages, approval decisions and settlement arrangements are outside Lodge Deck’s control.

Software & content ownership

Lodge Deck and its licensors retain ownership of the software, website, design, branding and documentation. Your subscription grants a limited right to use the service for your authorised business operations during the agreed term; it does not transfer ownership.

You may give us feedback to help improve the product. Do not include confidential guest information in public feedback. Customer names, logos or testimonials require appropriate permission before use in our marketing.

Service availability & responsibility

We aim to keep Lodge Deck useful and available, but maintenance, updates and interruptions can occur. Specific service levels, support commitments and remedies apply only where agreed in writing. The service does not guarantee occupancy, revenue, booking volume or any particular business result.

To the extent permitted by law, the service is provided without implied warranties beyond those expressly agreed. Each party remains responsible for its own acts and omissions. Any agreed limits on liability are set out in the applicable subscription agreement. Nothing in these terms excludes liability or removes rights that applicable law does not allow to be excluded.

Changes & resolving concerns

We may update these terms as the service or legal requirements change. The date above identifies the current version. Material changes affecting an existing subscription will be communicated through an appropriate account channel before they take effect, where required.

Contact [email protected] first so we can try to resolve a concern. These terms are governed by the laws of Nigeria unless a separately signed agreement specifies otherwise. Any dispute forum agreed in writing applies subject to mandatory legal protections; otherwise the applicable law determines the appropriate court. Nothing in this section removes rights that cannot lawfully be waived.
